Project Description: 

The Ontario Line South Civil Project is responsible for the design, construction and handover of all tunnels, stations and civil works between Exhibition Station and a portal location within the Don Yard. This includes, without limitation, seven Stations (one at grade and six underground stations), 6 km of Tunnels, a range of civil works and ancillary building works, and successful handover of the constructed South Civil Contract assets to the Sponsors.

Description

The position of Document Control Coordinator will, under supervision, perform technical and administrative functions related to document and digital platforms management for the Design and Construction Technical Office teams, among other departments of the Ontario Transit Group team for the Ontario Line South Project.

Duties and Responsibilities:

  • Efficiently process organizational documentation throughout the documents’ life cycle (Submittals, RFIs, Correspondence, DCRs, RFAs, Drawings….)

  • Administer document platforms and admin user’s access.

  • Ensure security, accessibility, and distribution of documents working within Document Control team, and closely with Quality Department, Design Managers, Area Disciplines, and Consultants.

  • Compile and maintain control of records of engineering documents.

  • Follow up with engineers as required to confirm status and/or completion dates of deliverables.

  • Track and monitor communications and documentation flows.

  • Ensure that internal document controls are established and followed. Enforce document control requirements and rules for standards.

  • Verify files are organized and consistent with naming conventions and project-specific filing structure and document control procedures.

  • Distribute electronic, hardcopy documents and correspondence to defined recipients.

  • Ensure the different tasks are performed according to the priorities and schedule.

  • Pay extreme attention to detail, ability to spot errors and learn quickly.

  • Time management for the assigned tasks. Any other reasonable request related to document control deemed necessary by management.

Qualifications:

  • 2-4 years of work experience in similar document control positions preferred.

  • Bachelor’s degree or Associate (preferably related to Engineering, Architecture, Administration, or related fields)

  • Experience within the Construction Industry is a must.

  • Prior experience in EDMS (Electronic Document management systems).

  • Proficiency in MS Office (Outlook, Word, and Excel).

  • Must possess excellent organization and communication skills, both oral and written.

  • Must be able to multi-task and work well in a fast-paced environment.

  • Document management software: SharePoint, Autodesk Construction Cloud, BIM360, ProjectWise, Procore

  • Candidate should be reliable and willing to work reasonable additional hours as needed/approved to complete assigned tasks

  • Local candidates preferred

Organizational Relationships:

  • Reports directly to the Document Control Manager or designee.

  • Assists and works in conjunction with the Document Control Team and other departments for the efficient operation and maintenance of the document management system as needed.

Work Environment

  • The job is mostly performed indoors in a traditional office setting.

  • Occasional field trips outside of office may be required.
