Project Description:
The Ontario Line South Civil Project is responsible for the design, construction and handover of all tunnels, stations and civil works between Exhibition Station and a portal location within the Don Yard. This includes, without limitation, seven Stations (one at grade and six underground stations), 6 km of Tunnels, a range of civil works and ancillary building works, and successful handover of the constructed South Civil Contract assets to the Sponsors.
Description
The position of Document Control Manager will, under limited supervision, lead and manage document control team, procedures and information management systems in support of the Design and Construction Technical Office, among other departments, in the Ontario Transit Group team for the Ontario Line South Project.
Duties and Responsibilities:
The responsibilities are, but are not limited to, those listed below:

Implement, update and/or improve Engineering document control procedures to meet internal and external compliance requirements.

Efficiently manage organizational documentation throughout the documents’ life cycle (Submittals, RFIs, DCRs, RFAs, Drawings….)

Ensure security, accessibility, and distribution of documents working within Document Control team, and closely with Quality Department, Design Managers, Area Disciplines, and Consultants.

Management of Digital Document Platforms and user’s access.

Ensure that internal document controls procedures are established and followed. Enforce document control requirements and rules for standards. Verify files are organized and consistent with naming conventions and project-specific filing structure and document control procedures.

Demonstrated leadership and supervisory skills to provide direction, technical leadership, training, and guidance to staff members

Distribute electronic and hardcopy documents, submittals, transmittals, and correspondence to defined recipients.

Compile and maintain control of records and related files to release reports, drawings, and engineering documents to production and other operating departments.

Examine documents, such as blueprints, drawings, change orders, and specifications for general completeness and accuracy of data.

Confer with document originators or appropriate personnel to resolve discrepancies with documents.

Post changes to documents, especially construction drawings and related construction documents to maintain the most up-do-date construction documents for use by construction personnel (internal field personnel, client, and lower-tier contractors).
Qualifications:
-
Minimum 7 years of work experience in similar information management position, including managing a team.

Completion of a Degree in Engineering, Architecture, Computer Science, Economics, Administration, or related fields.

Experience within the construction industry is a must.

Preferable experience in document management software: SharePoint, Autodesk Construction Cloud, ProjectWise, Procore, Bluebeam, eBuilder, …

Proficiency in MS Office (Outlook, Word, and Excel).

Must possess excellent organization and communication skills, both oral and written
Organizational relationships:
-
Reports directly Quality Manager.

Collaborates closely with the Engineering Manager, and the Design and Construction Technical Office teams.

Assists and works in conjunction with the Document Control Team for the efficient operation and maintenance of the document management system.
Work Environment
-
The job is mostly performed indoors in a traditional office setting.

Occasional field trips outside of office may be required to facilitate movement of documents.
