The Office Administrative Assistant is instrumental in supporting the company’s administrative, operational, playing a pivotal role in ensuring the smooth execution of daily activities. Job Description:
The Office Administrative Assistant is instrumental in supporting the company’s administrative, operational, playing a pivotal role in ensuring the smooth execution of daily activities. This role demands a high level of efficiency in finance functions, document management expertise, and human resources support, closely mirroring the responsibilities of the Office Manager but tailored to the assistant level. Primary Duties and Responsibilities

Job Description:
The tasks to be carried out will be of a mixture of supporting nature and independently leading, and will be carried out periodically, but will require working to regular deadlines:
• Maintaining the fleet tracker
• Keeping all telematics details up to date
• Keep all fleet insurances up to date.
• Procure when required cars, vans, liverys, insurances, attachments (e.g. strobe lighting), repairs, MOTs
in line with company and client procedures (procurement / sustainability / etc.)
• Maintain list of drivers and their suitability to drive Ferrovial fleet cars
• Prepare and enter into Ferrovials SAP system Insite (and other purchasing systems):
o comparativces for comparing quotes
o Purchase orders
o IFRS16 inputs for leases
• Prepare and enter carbon data for the fleet into the telematics system and Ferrovial’s system RAF
• Process driver airside driving requests
• Liase with site teams to facilitate new and existing fleet and their teams access to these vehicles
(telematics card readers)
• Prepare fleet trackers and driver reports as required.
• Propose new fleet providers and obtain quotes to enter into new agreements when required.
To have an awareness and understanding of the importance of the following Technical Competencies required
including:
• Be abel to be familiar with and administer procurement of fleet insurance, warranties, MOT requirements, construction vehicle attire/livery

Knowledge, Skills & Abilities
- Ability to describe the current overall condition and condition trends for bridges
- Skilled in identifying the recent National Bridge Inspection Standards (NBIS) revisions
- Ability to accurately code National Bridge Inventory (NBI) items
- Ability to identify and document inspection observations using standard methods
- Knowledge of evaluating defects based on the 2008 AASHTO Manual for Bridge Evaluation
- Knowledge of coding NBI components using the Recording and Coding Guide for the Structure Inventory and Appraisal of the Nation’s Bridges
- Ability to determine if overall structure/structural member is fracture critical prone
- Ability to accurately inspect and evaluate a bridge’s four traffic safety features
- Ability to list the keys to ensuring a safe work environment
- Skilled in explaining bridge responses and bridge mechanics principles
Education and Experience
- High School Diploma or GED
- Valid driver’s license and acceptable driving record (Required) to drive a company
- Inspectors working for the Florida Department of Transportation (FDOT) are required to be State-licensed professional engineers or certified bridge inspectors who have completed the National Highway Institute course in bridge inspection and meet FDOT’s experience requirements.
- Minimum two years’ bridge inspection experience
- Experience on FDOT projects preferred
