Job Description:

A Project Coordinator provides organization and structure to the company by managing business development’s  bid submissions. The Project Coordinator is in charge of managing our timelines, drafting, managing documents, collecting information and keeping the department in accordance with our corporate processes.  

Essential Duties and Responsibilities:

  • Analyze, coordinate and gather data and documents (from Cintra and Ferrovial employees and project partners) worldwide to direct, draft and review bid submission documents.  Produce bid volumes and electronic files for prospective clients by due date to ensure accurate and timely project submissions

  • Circulate and process invoices for payment by corporate and concession entities to ensure accurate and timely payment to vendors, subcontractors and consultants.  Coordinate document/information transfers to and confirmations from appropriate entity for timely payment or re-invoicing, as appropriate

  • Research and compile project process information for department through Internet research, e-mail, and periodical review, resulting in e-mails, hard folders and binders of department reference data 

  • Develop and maintain department library of project submission binders and reference material

  • Draft project checklists in MS Excel and document templates in MS Word and MS Excel for collaboration with Project Managers and project team in drafting wholly responsive bid submissions for all projects

  • Perform other job-related duties as assigned

Qualifications (Knowledge, Skills & Abilities):

Education & Experience:

  • Bachelor’s Degree required

  • 0-3+ years of experience in business administration or in project planning

  • Previous experience as a proposal coordinator/project coordinator is desired

  • Graphic design experience a plus

  • Experience within Software industry, Road User Charge (RUC) and Digital Tolling a plus

Professional Qualities:

  • Effectively manage tasks and strict deadlines with independence 

  • Superior writing, verbal and presentation skills

  • Ability to interact with colleagues in a self-managed team structure

  • Must be able to multitask, problem solve, and implement innovative processes within a fast-paced environment

  • Confidence and flexibility in dealing with a number of external parties

Computer Skills:

  • Must be able to demonstrate computer proficiency, especially with Microsoft Excel, Word and Power Point and other PC based programs

  • Knowledge of Adobe Creative Suite or similar design software is a plus
