Job Description:

Position Summary

Maintains office operations by receiving and distributing communications; maintaining supplies and equipment; picking-up and delivering items; serving customers.

Primary Duties and Responsibilities

  • Greets clients, customers and contractors that come into the office. Answers phone and retrieves faxes and mail. Sorts items and directs visitors to appropriate personnel.
  • May assist with time cards under the direct supervision of a Senior Project Administrator. May enter timekeeping information into company system and perform some filing of timekeeping documentation.
  • Responsible for completeness of overall files including: employee files, expense report files, invoices, etc.
  • Assist with maintaining supplies by checking stock to determine inventory levels; anticipating requirements; placing and expediting orders; verifying receipt; stocking items; delivering supplies to work stations.
  • Prepare invoices for payment by ensuring proper documentation is attached, correct forms and submission forms are completed and payment signatures are obtained.
  • Assist with scheduling miscellaneous meetings for office; may prepare communication pieces for distribution or may take notes from meeting with the intent to distribute to employees.
  • Data entry.
  • Assist the Senior Project Administrator with preparing reports.
  • All other duties as assigned.
  • Avoids legal challenges by complying with federal, state, and local legal requirements.
  • Positively contribute to a diverse, inclusive and fair work environment, free from discrimination, bullying and harassment.
  • Carry out all duties in line with Company policies and procedures as amended from time to time.

Knowledge, Skills & Abilities

  • Ability to learn and apply knowledge of policies, practices, business theories and systems.
  • Attention to detail and ability to coordinate and provide administrative support to
  • Demonstrated writing skills required to compose general and detailed correspondence.
  • Must be able to effectively communicate with persons in and outside of the organization.
  • Ability to multi-task and work in a fast-paced environment
  • High level of attention to detail, initiative, problem solving, personal organizational and leadership skills.
  • 24/7 Operations-Occasional holidays, nights, weekends are required.

Education and Experience

  • HS Diploma or GED required
  • Demonstrated knowledge of MS Office (Outlook, Word, Excel, and PowerPoint) required.

Work Conditions/Physical Demands

  • Must be able to sit for long periods of time and occasionally stand and/or walk for short periods of time.
  • Must be able to lift up to 20 pounds.
