Job Description:


The Executive Assistant supporting the Finance and Procurement leadership is an experienced professional that will support multiple members of the Executive Team with all administrative duties and special projects. Experience working in the construction industry will be considered favorable.

Job Responsibilities

  • Responsible for managing confidential and time sensitive material.

  • Compose, edit, and proofread correspondence with little or no guidance.

  • Generate presentations and reports including creating graphs and spreadsheets.

  • Support executive level special projects on an as needed basis.

  • Preparing routine and advanced correspondence including letters, memorandums and reports

  • Organization and preservation of legal documents

  • Coordinating travel arrangements, both domestic and international

  • Preparing expense reports and submitting in a timely manner

  • Facilitating meetings and conference calls, both domestic and international.

  • Understand and maintain busy calendars and schedules for multiple executives

  • Answering and directing phone calls

  • Focus on supporting direct executives in finance and procurement, but also expected to work closely with other EA's as a team unit as necessary

  • Perform office management and reception related duties.

  • Complete other duties as assigned.


  • A minimum of 5 years demonstrated experience as an Executive Administrative Assistant supporting Executive-level/C-suite management. Preference given to individuals with experience supporting 3+ executives, in the finance and procurement areas

  • Professional attitude, self-motivated and team oriented

  • Must be able to maintain confidentiality

  • Excellent verbal and written communication skills, as well as a logical thinker

  • Excellent organizational skills and attention to detail

  • Excellent time management skills with a proven ability to meet deadlines and ever-changing priorities

  • Ability to function well in a high-paced and at times stressful environment.

  • Must have working knowledge of office administration, clerical procedures and executive/expat travel, domestically and internationally

  • Knowledge of Concur or similar travel/expense systems is preferred

  • Extremely proficient with Microsoft Office; especially Excel and PowerPoint, with the ability to learn new or updated software.

  • Bilingual, English/Spanish is preferred but not required.
